CORESTA CONGRESS 2026

Hosted by the Tobacco Research Board (Kutsaga), Zimbabwe

The Tobacco Research Board of Zimbabwe, trading as Kutsaga Research Station (“TRB” or “the Host”) is hosting the CORESTA Congress 2026 in Zimbabwe. These Terms and Conditions govern the registration, attendance, and participation of any individual attending the Congress.

1. Definitions

1.1 Accompanying Person
An individual (not a professional colleague or delegate) accompanying a registered delegate.

1.2 Attendee
An individual who is either a Delegate or an Accompanying Person.

1.3 Congress
The CORESTA Congress 2026 to be held at the Elephant Hills hotel in the town of Victoria Falls in Zimbabwe on the dates published by the Host.

1.4 CORESTA
The Cooperation Centre for Scientific Research Relative to Tobacco, an international association promoting cooperation and best practices in tobacco-related scientific research.

1.5 Delegate
An individual who has completed the required registration and payment entitling that individual to attend official sessions, meetings, and activities of the Congress.

1.6 Host
The Tobacco Research Board of Zimbabwe, trading as Kutsaga Research Station (TRB/Kutsaga), the official organiser of the CORESTA Congress 2026.

1.7 Intellectual Property
All rights in and to patents, copyrights, trademarks, service marks, designs, trade names, domain names, databases, confidential information, know-how, and all related proprietary rights whether registered or unregistered anywhere in the world.

1.8 Losses
All losses, claims, liabilities, damages, costs, and expenses arising directly or indirectly.

1.9 Meetings
CORESTA Sub-Group, Task Force, and Committee meetings that may be held prior to, during, or after the Congress.

1.10 Registration
The official booking and payment process required to attend the Congress.

1.11 Venue
The official Congress venue(s) as designated by the Host in Zimbabwe.

2. Ordering Process and Payment

2.1 Registration for the Congress shall be completed through the official Congress website or authorized registration platforms designated by the Host.

2.2 Payment of delegate fees must be made in full at the time of registration unless otherwise specified.

2.3 Registration will not be confirmed and attendance will not be guaranteed until full payment has been received by the Host.

2.4 All queries regarding registration and payment shall be directed to the official Congress registration office.

3. Registration

3.1 Delegate places are limited and allocated on a first-come, first-served basis. The Host accepts no responsibility if places become unavailable.

3.2 All attendees must be at least 18 years of age. Proof of age may be requested.

3.3 The Host reserves the right, at its absolute discretion, to refuse registration or attendance to any individual.

3.4 Registration fees are non-transferable and non-exchangeable, except where expressly approved by the Host in writing.

3.5 Registration fees cover only the items specifically stated in the delegate package.

4. Delegate Registration

4.1 Delegate registration categories may include:

  • CORESTA Member Delegate
  • Non-Member Delegate
  • Student Delegate

4.2 Early registration deadlines and applicable fees shall be published on the official Congress website.

4.3 Delegate registration entitles one individual to the following:

a) Entrance to all official sessions, talks, poster sessions, and presentations;
b) Attendance at the Welcome Reception and Closing Event/Dinner;
c) Lunch and refreshments during official Congress breaks;
d) Congress materials, bag, and official documentation;
e) Attendance at designated CORESTA Meetings;
f) Access to official Congress networking events and functions.

5. Accompanying Persons

5.1 No official scientific or technical programme is provided for accompanying persons unless expressly stated by the Host.

5.2 Accompanying persons are not permitted entry to scientific sessions, CORESTA meetings, technical presentations, or poster sessions.

5.3 Accompanying persons are required to register and pay the applicable accompanying-person fee. This fee shall entitle the accompanying person to attend the Welcome Reception, designated Networking Event(s), and the Closing Dinner only.
Lunches, technical sessions, and all other Congress activities are excluded unless specifically indicated by the Host.

6. Congress and Meeting Programme

6.1 A provisional programme will be published on the official Congress website.

6.2 The programme is subject to change, and the Host and CORESTA reserve the right to amend sessions, speakers, venues, or schedules at any time.

7. The Host’s Right of Refusal

7.1 The Host reserves the right to exclude or remove any attendee whose behaviour is disruptive, abusive, unsafe, or likely to cause harm, offence, or disruption.

7.2 Any attendee refused entry or removed for misconduct shall not be entitled to a refund.

7.3 Attendees may be held liable for damages or losses caused to property, other attendees, or third parties.

8. Changes to the Congress

8.1 The Host accepts no responsibility for cancellations of sessions, changes in speakers, or alterations to schedules.

8.2 The Host does not guarantee the presence of any advertised speaker or participant.

8.3 If official Congress dates are changed, attendees may request a refund of registration fees only. The Host shall not be liable for accommodation, travel, or other related expenses.

9. Cancellation and Refund

9.1 The Host may cancel the Congress for any reason and will refund registration fees paid. No other costs will be covered.

9.2 Attendees may cancel their registration in writing via email. Refund eligibility, deadlines, and administrative fees shall be published on the official website.

9.3 No refunds will be issued for no-shows or cancellations after the stated deadline.

10. Visa Requirements and Letters of Invitation

10.1 Delegates requiring a visa may request a Letter of Invitation from the Host.

10.2 The Host is not obliged to provide such a letter and does not guarantee visa approval.

10.3 Where a visa is denied and official proof is provided, refunds may be issued in accordance with the refund policy.

11. Intellectual Property

11.1 All Congress materials remain the intellectual property of CORESTA and/or the Host.

11.2 Attendees shall not record, reproduce, distribute, or share Congress content without prior written permission.

11.3 Unauthorised use of intellectual property may result in removal from the Congress and possible legal action.

12. Liability

12.1 The Host is not liable for services provided by third parties.

12.2 Opinions expressed during the Congress are those of the presenters and not necessarily those of the Host.

12.3 Except in cases of death or personal injury caused by negligence, the Host’s liability is limited to the value of the registration fees paid.

13. Data Protection

13.1 Personal data will be processed solely for Congress registration, organisation, and communication purposes.

13.2 Data may include name, contact details, dietary or medical information, passport details where required, and payment information.

13.3 Contact details may be used to inform attendees of future related events. Attendees may opt out at any time.

13.4 The Host will take reasonable precautions to protect personal data in accordance with Zimbabwean and applicable international data protection laws.

13.5 Personal data will be retained only for as long as necessary for Congress purposes and then securely deleted.

14. General

14.1 Attendees are bound by the terms and conditions of third-party service providers engaged for the Congress.

14.2 The Host shall not be liable for delays or cancellations caused by events beyond its reasonable control, including force majeure.

14.3 No delay or failure to enforce any provision shall constitute a waiver of rights.

14.4 If any provision is found invalid or unenforceable, the remaining provisions shall remain in full force.

14.5 These Terms and Conditions constitute the entire agreement between the Host and attendees.

14.6 These Terms and Conditions shall be governed by the laws of Zimbabwe, and any disputes shall fall under the exclusive jurisdiction of the courts of Zimbabwe.
